Count the actions in your workflow
Make charges in credits; Zapier charges in tasks. Map the actions before picking a usage level. Other tools’ subscriptions, AI provider fees and upkeep can add to the platform bill.
A made-up example to help you calculate
Say subscriptions cost 20 in your chosen currency, and you spend one hour a month on upkeep valued at 300. That makes a monthly economic cost of 320, before setup, tax and extra usage. Put your own figures in the worksheet. Time saved isn’t the same as cash earned; this example isn’t a product quote.

- What works, what fails, and how you get it running again.
- The renewal date, how to export your data, and how to cancel.
If your process keeps changing, you can’t estimate usage, or no one can look after the setup, pause before subscribing. Keep a manual way to do the job while you try a tool.
Count your time, too
Monthly cost = subscriptions + usage charges + upkeep hours × the value of your hour. Record setup time separately so you can see the cost of getting started.
